Why use pseudonyms?

At Tenor Therapy, we encourage the use of pseudonyms (fictional names) instead of real names when creating client profiles in our system. This practice adds a layer of privacy protection beyond our standard security measures and HIPAA compliance protocols.

Benefits of using pseudonyms

  1. Enhanced privacy protection

    Even in secure, HIPAA-compliant systems like Tenor, using pseudonyms creates an additional buffer between sensitive client information and potential data exposure. If an unauthorized party were to gain access to client data, pseudonyms make it significantly harder to connect that information to real individuals.

  2. Reduced risk in case of a breach

    In the unlikely event of a security incident, client pseudonyms provide an extra layer of anonymization. Without the real names of your clients, unauthorized parties cannot easily identify whose health information they're viewing.

  3. Peace of mind for clients

    Many clients appreciate knowing that you're taking extra steps to protect their privacy. Using pseudonyms demonstrates your commitment to confidentiality beyond the basic requirements.

How to effectively use pseudonyms

Creating effective pseudonyms

Do:

  • Use simple, easy-to-remember names; we recommend descriptive adjective-noun combinations (e.g., "quiet mountain," "gentle breeze," or "curious fox")

  • Create a consistent system that works for your practice

  • Consider keeping a secure, offline or encrypted reference document that maps pseudonyms to real identities

Don't:

  • Use pseudonyms that could identify the client (e.g., using their middle name)

  • Include identifying information like birth years

  • Use the same pseudonym for multiple clients

Implementation in Tenor

When adding a new client: Enter the pseudonym in the "Name" field instead of the client's actual name.
